Position Overview & Specifications
First South are looking for a friendly, efficient and outgoing Personal Assistant to provide high quality secretarial support to our Managing Director!
As a Personal Assistant, we want you to be passionate and self-motivated in your work, building strong relationships with your helpful and ‘can do' attitude. Your key focus will be to deliver consistently great service every day, by delighting and exceeding expectations.
This is a hybrid role where you will work between home and any of our depots, within the South local business unit.
What will you be doing?
- Opening and screening of incoming correspondence, including telephone, post and e-mail
- Photocopying and despatching outgoing correspondence
- Managing diary schedules
- Recording and passing on messages accurately and efficiently
- Arranging internal and external meetings and preparing necessary documentation
- Arranging travel and accommodation
- Compilation of expense claim forms
- Maintenance of filing system
- Greeting visitors
- Minute and note taking
What are we looking for?
- Computer literate in al Microsoft Office Packages
- Experience in a Personal Assistant role
- Excellent communication skills, both written and verbal
- Interpersonal skills
- Ability to prioritise and work to deadlines, with strong attention to detail
- Awareness of working with integrity and confidentiality
- Strong interpersonal skills to build strong working relationships
- Ability to work on own initiative
- Friendly and helpful manner
- Flexible approach to working hours
