Sales Office & audit compliance Administrator

We are a leading catering butcher in Fife. We are suppliers to many of the most prestigious hotels and restaurants in Fife, Dundee, Perth, Edinburgh, Lothians and the Borders, and are looking to recruit a Sales Office & audit compliance assistant on a permanent basis.

Core Responsibilities

Sales Office

• Working as part of a team, key orders and produce accurate invoices/ credits daily using our software Greentree (Training will be provided)
• Key/ match invoices using customer’s software Procure Wizard
• Print delivery notes for drivers.
• Calling/ Answering the phone and deal with customers always queries with a courteous manner.
• Allocate cash/bacs/cheque payments to correct customer accounts.
• Produce monthly statements.
• Produce/ check Direct Debit Spreadsheet every month.
• Forward invoice copies via Greentree software
• Process all customer payments, complete the banking process and update relevant spreadsheets.
• Update appropriate spreadsheets with relevant information.
• Logging all deliveries including temperature in the diary on a daily basis
• Check supplier invoices (prices & Quantity) against delivery notes.
• Process all supplier information on the relevant spreadsheets.
• General Administration

Audit compliance

Working closely with production/ butchers/ warehouse/ Office and Management

Monitoring operational processes & procedures, ensuring compliance

Monitor internal controls & ensuring all compliances are being met.

Reviewing processes & procedures, identifying noncompliance

Prepare/ manage and file documents.

Maintain transparent, up to date and easily traceable documents.

Recording information, file documents physically or digitally

Create/ amend templates for future use.

Accurate data entry

Working closely with the management team for mandatory audit visits

Additional knowledge preferred but not essential

• Understanding of Food Safety is desirable but not essential as Training will be given.

Hours of Work 28.25 hours per week

Rate of Pay £12.00 per hour

Monday 10.00am – 2.30pm

Tuesday 7.00am – 3.30pm

Wednesday Day off

Thursday 7.30am – 2.30pm

Friday 7.30am – 2.30pm

Saturday 8.00am – 11.00am

Flexibility to cover Holidays and sickness if required.
